FRONT OFFICE LEGAL ADMIN ASSISTANT needed for the Boulder office of a boutique corporate law firm. Normal working hours are from 9: 00 a.m. to 5: 30 p.m., Monday through Friday. This position is-temp-to-hire, which means the selected candidate will begin as a temporary employee on our (the staffing company' s) payroll. After the temporary period (which could range from 1 month to 4 months), an offer of employment will be extended and benefits will be included (which are outline below). Qualifications/ Abilities: Experience working in an office setting Upbeat & positive attitude with excellent interpersonal skills Professional and respectful demeanor with all colleagues, staff and guests Adaptable and dependable with solid attendance record; must have reliable transportation Strong organizational, problem solving and analytical skills Excellent written and verbal communication skills, including listening and asking follow-up questions Be a proficient user in Microsoft Office (formatting skills in Microsoft Word, intermediate knowledge of Excel a plus) Quickbooks experience is a plus Use computer mouse and keyboard for extended periods of time Ability to manage time and work flow amid shifting priorities and interruptions; must effectively multitask and maintain poise under pressure; must meet deadlines Ability to work independently with little direction, supervision or face to face interaction while also working within a team, willing and able to take direction. Ability to form and nurture a strong team relationship Willing to learn, eager to develop professional skills and take on additional responsibilities Ability to think swiftly and provide accurate information or know where to find the answer Follow-up and follow-through to completion Self-starter; takes initiative especially during down time Ability to quickly learn new procedures/technology and apply with minimum supervision Willingness to help wherever needed Ability to work in a fast-paced environment Able to sit for prolonged periods of time Ability to move/lift twenty-five (25) pounds Duties: Opens and closes office each work day; checks that all lights are off and all doors are locked when leaving Greet clients with courtesy and professionalism, in person and on the phone Answer and route calls between our 2 office locations and employees and other receptionist related tasks Retrieve, sort, and distribute mail; ensuring timely delivery and receipt of important information Receive, open and distribute all deliveries to office in a timely manner; preparing Federal Express and Priority Mail labels; preparing certified mail and envelopes, and/or personally mailing or dropping off mail and shipments as appropriate Provide secretarial / administrative support for attorneys and paralegals Conduct quarterly CLE review for all attorneys Ensures operation of all spare computer equipment, phones, headsets, monitors, printers and copier equipment, cleaning glass top of copier often and calling for repairs when necessary; maintains phone service, server and internet connection by placing any needed service calls to outside providers Maintain and coordinate multiple conference room calendars Coordinate meetings and lunches along with ordering catering as requested Coordinate travel arrangements Document current procedures as well as implement new procedures for improvement and train staff on these processes and practices Maintains firm roster and phone lists Assists with Accounts Receivable by depositing checks once a week as needed; assist with aspects of monthly invoicing: reviewing time in RocketMatter; generating and sending statements to clients; preparing monthly AR report for partners Maintains a clean and pleasant environment for employees and clients by: Maintaining kitchen supplies and groceries inventory; anticipating needed supplies; placing delivery orders and/or purchasing items at various stores as needed; and verifying receipt of supplies; Unloading and re-loading dishwasher daily; Keeping kitchen and appliances clean; performing general maintenance requirements for various appliances; replacing all water filters as needed; Maintaining office supplies inventory; anticipating needed supplies; placing and expediting orders for office supplies as needed; verifying receipt of supplies and evaluating new products; Loading paper in all printers and copier each morning; changing toner and ink cartridges as needed; Managing automatic shredding service, and Compose and distribute e-mails, documents and memos ensuring timely delivery and receipt of important information; conflict checks and new clients included Maintaining confidentiality while performing all job functions Liaises with Property Management and Building Maintenance Assist with company events working overtime occasionally Work with third-party vendors as needed Additional duties as assigned If the firm elects to hire the employee after the temporary period, the firm offers the following benefits: Garage parking 100% paid health insurance premiums for the employee plus an annualized contribution of 100% of the policy’ s 1st tier deductible for an individual with the option to obtain coverage for dependents under the same policy at their own expense. 401(k) which includes a match of up to 4% by KO Unlimited vacation time so long as your absence from work does not materially interfere with the Firm’ s business.
