Our client is seeking a Property Manager, based in Brisbane, CA, to manage a portion of its commercial and residential portfolio located throughout the San Francisco Bay Area.
General Responsibilities The Property Manager is responsible for the front-to-back management of the properties, with a focus on risk management through the implementation of a property inspection schedule and the development of a proactive maintenance program. The Property Manager will be required to support senior management in providing professionally managed, well-maintained properties, develop relationships and a culture of open dialogue with tenants, attend to their needs, resolve problems and ensure health and safety requirements are being met.
Specific Duties Provide excellent customer service through timely and courteous responses to tenant queries and requests.
Ensure that property and tenant files, correspondence and records are kept up to date and carefully organized.
Implement a formal inspection schedule for each tenant unit to identify any maintenance requirements, confirm proper use of the unit, verify compliance with leases and adherence to relevant building and safety codes.
Coordinate tenant move-ins and move-outs.
Draft new lease agreements and/or lease amendments in line with pricing policies agreed by senior management, update tenant files, records, correspondence and file notes.
Assist senior management with the establishment of property maintenance policies and procedures, and an Operations manual.
Co-ordinate entry of all property and tenant information into the property management software, Rent Manager.
Utilize Rent Manager to manage maintenance requests, plan preventative maintenance and monitor key dates for properties, tenants and vendors, e.g. liability insurance certificate updates, lease renewals, etc.
Create work orders and engage contractors where necessary to resolve issues and follow up with tenants to ensure satisfactory resolution.
Provide oversight of contractors’ performance at the properties for maintenance and improvement projects.
Other duties as assigned.
Required Experience and Skills Relevant commercial real estate and/or or property management experience
Strong working knowledge of MS Word, Outlook, and Excel
Experience with property management software (Rent Manager experience preferred but not essential)
Excellent people skills and ability to effectively communicate both orally and in writing with colleagues, senior management and tenants of varying levels of sophistications.
Ability to effectively prioritize and multi-task workload.
